This policy outlines the terms and conditions governing refunds and cancellations for hotel room bookings made through Desc Apartments, managed by D-Easy Shelters and Cubicles Ltd. We aim to provide transparent guidelines for all guests.

1. Scope of Policy

This policy applies to all direct hotel room bookings made with Desc Apartments (via our website, phone, or in person). Bookings made through third-party online travel agencies (OTAs) or other platforms are subject to the refund and cancellation policies of those respective platforms. Guests are advised to review the terms and conditions provided by their booking channel.

2. Standard Cancellation Policy

Our standard cancellation policy allows for flexibility while ensuring fair practices.

  • Free Cancellation Window: Guests are eligible for a full refund if they cancel their booking at least 48 hours before the scheduled check-in time (e.g., if check-in is 3:00 PM on Friday, cancellation must be made by 3:00 PM on Wednesday).
  • Late Cancellation: If a booking is cancelled less than 48 hours before the scheduled check-in time, a cancellation fee equivalent to one night’s room rate plus applicable taxes will be charged. The remaining balance, if any, will be refunded.
  • No-Show Policy: In the event of a “no-show” (guest fails to arrive without prior cancellation), the guest will be charged for the first night’s room rate plus applicable taxes. The remainder of the booking will be automatically cancelled, and no further charges will apply for subsequent nights.
  • Non-Refundable Rates: Some promotional offers or special rates may be designated as “non-refundable” at the time of booking. For such bookings, no refunds will be issued for cancellations or no-shows, regardless of the notice period. These terms will be clearly stated during the booking process.

3. Online Booking Specifics

For bookings made directly through the Desc Apartments official website or other designated online booking portals managed by D-Easy Shelters and Cubicles Ltd., the following additional terms apply:

  • Confirmation: All online bookings are considered confirmed upon successful payment and receipt of a confirmation email containing a booking reference number. It is the guest’s responsibility to ensure the accuracy of their email address and to check their spam/junk folders.
  • Payment: Full payment is typically required at the time of online booking, unless otherwise specified for certain rates (e.g., “pay at hotel” options). Payment methods accepted online will be displayed on the booking platform.
  • Modifications: Any modifications to an online booking (e.g., change of dates, room type, or number of guests) must be requested through the online booking portal or by contacting Desc Apartments directly. Modifications are subject to availability and may incur additional charges or rate adjustments based on the prevailing rates at the time of modification.
  • Cancellation Process: Online cancellations should ideally be initiated through the same online platform where the booking was made, using the provided booking reference number. If the online cancellation feature is unavailable, guests must contact Desc Apartments directly via email or phone to process the cancellation, adhering to the notice periods outlined in Section 2.
  • Data Security: Desc Apartments (D-Easy Shelters and Cubicles Ltd.) utilises secure payment gateways for all online transactions to protect your personal and financial information.

4. Group Bookings & Special Events

For group bookings (typically more rooms) or reservations made during special events, conferences, or peak seasons, specific cancellation policies may apply, which will supersede this standard policy. These specific terms will be communicated at the time of inquiry or booking confirmation. A longer cancellation notice period and/or a non-refundable deposit may be required.

5. Early Departure Policy

If a guest checks out before their confirmed departure date, the following applies:

  • Standard Bookings: For bookings made at standard flexible rates, guests who depart early may be charged an early departure fee equivalent to one night’s room rate plus applicable taxes. This is to compensate for the lost revenue from the unfulfilled portion of the stay.
  • Non-Refundable Bookings: For non-refundable bookings, no refund will be issued for any unused nights due to early departure.

6. Refund Process and Timing

  • Initiating a Refund: Refunds are automatically processed for eligible cancellations made within the free cancellation window. For late cancellations or early departures where a partial refund is due, the refund will be processed after the applicable fees have been calculated.
  • Payment Method: Refunds will be issued to the original payment method used for the booking (e.g., credit card, bank transfer).
  • Processing Time: Please allow 7-10 business days for the refund to be processed by Desc Apartments and for the funds to appear in your account. The actual time for the funds to reflect may vary depending on your bank or credit card provider.
  • Currency: All refunds will be processed in Nigerian Naira (NGN). We are not responsible for any fluctuations in exchange rates or bank charges incurred by the guest’s financial institution.

7. Force Majeure

Desc Apartments (D-Easy Shelters and Cubicles Ltd.) reserves the right to cancel or modify bookings in circumstances beyond our control, such as natural disasters, government mandates, or other unforeseen events (Force Majeure). In such cases, we will endeavour to offer alternative arrangements or a full refund, as deemed appropriate and fair by management.

8. Dispute Resolution

Should a guest have a dispute regarding a charge, cancellation, or refund, they are encouraged to:

  1. Contact Desc Apartments management in writing, clearly outlining the nature of the dispute and providing relevant booking details.
  2. Submit the dispute within 7 days of the disputed transaction or event.
  3. Desc Apartments will review the dispute and respond within 10 business days. We aim to resolve all issues amicably and fairly.
